Preliminary media visit Questionnire

 Our goal is to assist the working press in fully experiencing Cancun and all of its attractions, tours,  accommodations, cultural/historical venues and other points of interest.

 As you can imagine, we receive a considerable number of requests from individuals soliciting travel privileges.  As a result – and to most effectively meet legitimate editorial, photographic and/or broadcast needs – we ask your cooperation in following these guidelines when requesting consideration for a press trip opportunity:

  ·      Please ensure that you currently possess a valid U.S. Passport, as it is now required for air travel to Mexico and the Caribbean by the Western Hemisphere Travel Initiative.

  ·      We request a minimum of two business weeks notice prior to your anticipated arrival date, preceded by receipt of credential documentation.  This provides us with the time necessary to ensure there is space available on the dates you seek to travel, and to make other necessary advance arrangements to enhance your experience.

  ·      Please complete and fax or mail back the attached Preliminary Media Visit Questionnaire.

  ·      To qualify for host assistance, journalists MUST provide documentation/samples of recent clips (within the past 6 months), a copy of the publication and/or Broadcast Tape, along with a letter of assignment on letterhead from the media outlet you are representing. The letter of assignment should include the name, title, telephone number and e-mail address of the assigning editor. 

  ·      Specify the primary focus of your story, stating clearly the assistance you require, and whether there will be editorial mention of the visited hotels, attractions, etc.  If you cannot provide two weeks’ notice, we will be glad to refer you directly to Bureau members who may be able to assist you.

  ·      After your trip, we request that you also provide us with an original copy of your resulting media coverage, as well as the expected publication/air date.

  ·      Once confirmed on a trip, kindly notify us immediately if there is a change in your travel plans. If you choose not to participate or need to change or cancel your trip for any reason after your trip has been reserved, you will be responsible for the full price of any and all airline tickets reserved in your name.

  ·      Members of the media are responsible for any incidental costs and personal expenses - such as liquor, gratuities, souvenirs and fax/phone charges. 

  To help us meet your needs and give you a better understanding of the Cancun CVB’s expectations, please review the following guidelines.  Please note that services depend on Cancun Hotels and airline partner availability, interest and lead time. Members of the media can expect:

  ·            Complimentary travel to Cancun, including:

o              Accommodations

o              Attraction Admission(s)

o              Tour Guides / Translators

o              Itinerary development

o              Interviews

o              Air & Ground Transportation

o              Meals (included in the itinerary)

  ·            Special requests to be considered, when made in advance through your Ypartnership public relations contact, will be arranged when possible.

  ·            The assistance of Cancun’s corporate staff and Public Relations Department in making travel arrangements, sending itineraries and documentation prior to departure.

  ·            The opportunity to stray from the set itinerary to meet your needs, as long as these plans do not disrupt the group’s schedule and are approved by the CVB/Ypartnership in advance. Costs for this would be the journalist’s responsibility.

 The Cancun CVB does not negotiate trade-out agreements; does not guarantee complimentary or discounted accommodations for accompanying persons (meaning qualified media representatives who would assist the writer in his/her story); does not request support for one-night stopovers and advertising/sales missions.  If producing fashion/catalog shoots, discounted and/or full rate accommodations apply. 

 Please note that complimentary arrangements are provided at the discretion of the Cancun Convention and Visitors Bureau (CVB) and their travel partners, and are subject to availability.  During high season (December 15 - April 15) and major U.S. holidays, black-out periods may apply.  Black-out holidays include New Year's, President's Day Weekend (mid-February), Memorial Day Weekend (end-of-May), Fourth of July Weekend, Labor Day Weekend (early September), Columbus Day Weekend (mid-October), Thanksgiving (3rd week in November) and Christmas.
